NN Group’s Corporate Relations department is looking for a secretary who will cover a wide variety of tasks and responsibilities that support the whole department. On a team of experts in a variety of fields, you’ll be the one who:
- Is the ‘go to’ person for everyone in the CR department
- Arranges travel schedules and accommodation for team members
- Supports team members in setting up (online) meetings and preparing agendas
- Offers key support during events
- Manages correspondence in Dutch and English
- Handles the team’s authorisations and entries in various NN IT systems
- Fills out Purchase Orders and manages office supplies
As our Hands-on Secretary, you will play a variety of roles. In addition to supporting the entire team, you will work closely with the team’s financial expert to manage financial flows. You’ll also provide back-up support to the Managing Directors’ PA in the event of absence. So you should be able to work independently, and be comfortable interacting with senior management.
Meet your team
Working from our international head office in The Hague, the Corporate Relations (CR) department supports NN Group’s Management Board. CR is divided into specific specialist teams, based on the type of communications, or stakeholder group, for which each division is responsible:
- Media Relations
- Public & Government Affairs
- Internal & External Communications
- Corporate Citizenship
The CR department has 47 employees. As the team Secretary, you will report to the Head of Operations.
The Operations team consists of six colleagues who are experts in their own fields, from communication tooling to events, and from audio/visual production to design and DTP. We support the entire CR department with finance, procurement, compliance and risk activities, and practical day-to-day support.
On this interdisciplinary team, we are completely service-oriented and do not work in silos. We expect you to be willing to help out your colleagues in both big and small ways – from making their day-to-day work easier to helping clean up after a department event. You will not likely hear the phrase ‘that is not my job’. More often, you will hear ‘how can I help?’
Since you will be the backbone of our department, we will need you to be endlessly accurate, very well organised, and loaded with integrity and diplomacy. But it is equally important that you care about our business interests, that you can be flexible in relation to working hours, you are committed to getting the job done and you have solid social and communication skills. Our team is diverse – both in culture and in function – so you will need to be open and accepting of others and approach team members with an open mind and a smile.
There are a few other qualities that would be very handy to have:
- At least five years of relevant working experience
- Fluency in Dutch (both speaking and writing) and strong English language skills
- A thorough command of relevant technical skills (PC skills, use of MS Office products)
- Experience working in a diverse and international environment
